Team Leader Administration - GP Services

Latrobe Community Health Service is seeking an experienced and motivated Administration Team Leader – GP Services to lead our GP Administration team and support the delivery of high-quality, client-centred healthcare services.
In this role, you will provide day-to-day leadership, operational oversight, and workforce coordination to ensure efficient clinic operations, strong team performance, and an excellent client experience. You will play a key role in service planning, continuous improvement, and supporting the delivery of integrated healthcare aligned with our strategic goals.
Key responsibilities
- Leadership & Team Management
- Lead, coach and support the GP team
- Conduct performance reviews, supervision, and ongoing development
- Coordinate staff leave, timesheets, and workforce planning
- Foster a positive, high-performing, and accountable team culture
Operations & Service Delivery
- Support efficient day-to-day clinic operations and service access
- Coordinate rosters, appointments, and administrative workflows
- Ensure policies and procedures are current and consistently applied
- Monitor performance, identify gaps, and implement improvements
- Support recruitment, onboarding, and staff training
- Quality, Compliance & Improvement
- Conduct audits and ensure best practice documentation standards
- Manage complaints and performance concerns in line with procedures
- Apply risk management frameworks to minimise service risks
- Drive continuous improvement initiatives and service innovation
Stakeholder Engagement
- Build strong relationships with internal teams and external providers
- Collaborate with the GP Manager on service planning and workforce models
- Support a positive, client-focused service experience
- Reporting & Administration
- Collect and analyse data for reports and service planning
- Maintain accurate client records and statistical data
- Support funding submissions and program development
- Assist with meeting coordination, agendas, and minutes
About you
You are a confident and organised leader with a passion for delivering excellent customer service and supporting high-performing teams.
You will bring:
- Proven experience in administration team leadership (healthcare highly regarded)
- Strong understanding of HR processes including performance management and recruitment
- Excellent organisational skills with the ability to manage competing priorities
- High-level communication skills, both written and verbal
- Strong analytical skills and attention to detail
- Experience working with databases and reporting systems
- Intermediate to advanced Microsoft Office skills
